Our commitment
We are committed to maintaining the trust and confidence of visitors to our website. In particular, we want you to know that ORB has not in the past, and will not at any time in the future, sell, rent or trade email lists with other companies and businesses for marketing purposes.
In this Privacy Policy, you can find detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others, and how we keep it secure.
Here at ORB we've also tried our best to make this as simple as possible and in plain English. Do please get in touch if you think there is any way we could improve this document, or if you would like any clarification on anything written in this policy.
Our Privacy Policy embodies the following key principles: a) Lawfulness, fairness and transparency; b) Purpose limitation; c) Data minimisation; d) Accuracy; e) Storage limitation; f) Integrity and confidentiality; g) Accountability.

The Responsible Business Directory
This website publishes business information about ORB members who have chosen to be listed in the directory. That information is provided by members (or their authorised representatives) for the purpose of promoting their businesses and may include company names, trading names, descriptions, contact details, addresses, website links, social media links, logos, and business categories.
Directory listings are intended to be publicly visible to visitors searching or browsing the site. Member profile pages may include links to members' own social media profiles, where members have chosen to provide them. The directory does not post to or publish content on those platforms on a member's behalf; it only displays links provided for the listing.
If you are an ORB member and wish to update or remove information shown in your listing, please contact us using the details below.
If you believe a directory entry contains inaccurate information, you may use the report form on that member's profile page. We collect your name, email address, and the details of your report so we can investigate. Reports are not published on the site. We use this information only to review the listing and, where necessary, contact you or the member concerned. Report submissions are sent by email to ORB for handling and may be stored in our systems for audit purposes.
When you search the directory, you may enter a location, postcode, or town name, or choose to use your device's current location. We use this information only while processing your search so we can return relevant directory results, such as members near a place you have searched for. If you use current location, your browser will ask for permission before sharing coordinates with the site.
Searches performed using the directory are not linked to individual visitors, are not retained beyond the immediate processing of the search, and are not used to build personal profiles.
To support location-based search, we may look up UK postcodes and place names using the third-party service postcodes.io. We cache postcode coordinates on our own systems to improve search performance. We do not send any information that identifies you personally to postcodes.io. Only the postcode or place name needed to complete the lookup is shared.
To keep the order of directory listings consistent while you move between pages of results, we store a small amount of information in your browser's local storage. This stays on your device, is not used for tracking or advertising, and is described further in our Cookie Policy.
Hosting and technical services
The Responsible Business Directory is hosted on dedicated infrastructure provided by Cahillbrand Ltd on behalf of ORB. Cahillbrand Ltd is a private company limited by shares registered in England and Wales, Company Registration No. 10029421, Registered Office Arlington House, West Station Business Park, Spital Road, Maldon, Essex CM9 6FF.
This website uses Cloudflare to provide secure and reliable delivery of its content. Requests to the website pass through Cloudflare's network before reaching our server. Data is stored and processed on dedicated infrastructure hosted within the United Kingdom.
Like most websites, our servers automatically record limited technical information about visits, such as IP address, browser type, referring page, and the date and time of requests. We use these logs for security, troubleshooting, and to keep the service running reliably. Logs are kept only for as long as needed for those purposes and are not used for marketing or profiling.
Where we use trusted third-party service providers (such as Cloudflare, Plausible Analytics, Campaign Monitor and postcodes.io), they only process information necessary to provide their services. We select providers that meet appropriate security and data protection standards and only share the minimum information required.
Security
We take appropriate technical and organisational measures to help protect the information we hold. These include secure HTTPS connections, access controls, server security measures, and regular software updates designed to help keep the website and its data secure. Access to personal information is restricted to authorised individuals who require it to perform their role.
Internet cookies and analytics
The Responsible Business Directory does not use cookies. We do not set cookies when you browse the directory, search for members, or view member profiles.
We use Plausible Analytics to understand how visitors use this website. Plausible is a privacy-friendly analytics service that does not use cookies and does not build personal visitor profiles. It provides us with anonymous, aggregated statistics, such as page views and referring websites. For more information, please see the Plausible Data Policy and our Cookie Policy.
Other ORB websites and login
The Responsible Business Directory is one of several websites operated by ORB. Other ORB websites, including the main ORB website and our online courses platform, have their own privacy policies, which apply when you use those services.
If you choose to log in from this directory, you are accessing services covered by the main ORB privacy policy. Processing of account and authentication data is handled under that policy.
Please note: the main ORB website may use cookies, including analytics tools such as Google Analytics, under its own privacy and cookie policies.
Data and mailing lists
As part of the registration process for our email newsletter, we collect the minimum personal and business contact information needed for non-members. We use that information to send you the newsletters and updates you have asked to receive. In addition we may use these details to send you revised Terms and Conditions, Privacy Policies and other documents and give you an opportunity to opt out. We may also contact you from time to time to ensure our records are accurate and to ask for feedback about the services we provide.
As explained in the introduction, we do not rent, sell or trade email lists with other organisations and businesses.
We use a third-party provider, Campaign Monitor, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our newsletter. For more information, please see Campaign Monitor's Privacy Policy. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing our Data Protection Officer, Jill Poet ([email protected]).
Membership
If you apply for membership of ORB, you will be required to provide, via an online application, more detailed information about your company and also complete a questionnaire. This information is stored securely and is not accessible by or shared with third parties, except as needed to operate services you have signed up to (such as publication in this directory). As detailed below, you have a right to ask for this information to be deleted from our database, subject to legal and operational requirements.
Should you proceed to membership, your core company details, plus details provided by you to promote your company, are published in the Responsible Business Directory. ORB may also promote member businesses through its own channels, including social media, in accordance with our Terms and Conditions of Membership.
Courses
Online courses are developed and managed by ORB but are accessible and usable from a separate website. Please refer to the privacy policy, terms and conditions, and any other applicable policies published on the courses website.
Access to your personal information
You have the right to access, amend and delete any personal information that ORB holds on you. To access, amend or delete this data, please contact our Data Protection Officer, Jill Poet, at [email protected]. Where we are legally required to retain certain information (for example, accounting or contractual records), we will explain this when responding to your request.
Retention
Directory search information is not retained. Membership information is retained only for as long as necessary to administer membership, comply with legal obligations, and resolve any contractual or accounting matters where required.
Changes to this privacy policy
We last reviewed and changed our privacy policy on 10th July 2026. Reviews and amendments to the privacy policy will be published on ORB websites. Significant changes to policies may be published via mailing lists to our customers and suppliers. We will review the policy during significant legislation changes, changes to our inbound, outbound and internal data flows, and when there are changes to the internal systems we use for data storage.
